Periods, Paperwork, and Pads: Canada's Menstrual Product Laws, Explained
Periods, Paperwork, and Pads: Canada's Menstrual Product Laws, Explained Let's be honest: nobody dreams of becoming a workplace washroom expert. And yet, here we are. Thanks to a 2023 update to the Canada Labour Code, if you run a federally regulated workplace, you're now legally on the hook for stocking your washrooms with pads and tampons — no more relying on that one coworker who always has a spare tucked in her desk drawer like a Girl Guide with a badge in Emergency Preparedness. Grab a coffee (or don't, caffeine and cramps are a questionable combo) and let's walk through what the law actually says, why it's a genuinely good idea, and how Cleaning365 can make sure your washrooms are compliant instead of chaotic. So, What Exactly Changed? As of December 15, 2023, an update to the Canada Occupational Health and Safety Regulations (Section 9.17, for the paperwork nerds among us) says federally regulated employers must treat menstrual products like the workplace basics they are — right up there with toilet paper, soap, and the mysterious break room coffee that's always slightly burnt. Specifically, employers now have to: Provide free tampons and pads in every toilet room they control — no vending machine, no coin slot, no "please see reception" Offer an alternate accessible spot for products if a toilet room genuinely can't hold them, as long as it's private and available any time Install covered disposal bins in every stall (or in the room, if there's just one toilet) — goodbye, sad metal box from 1994 Stock every washroom regardless of its sign on the door, because periods don't check which pictogram is on the wall before showing up In short: menstrual products are now filed under "basic hygiene," not "nice to have." Revolutionary concept, we know. Who Actually Has to Follow This? If you're in a federally regulated industry — banking, telecom, interprovincial transport, postal services, Crown corporations — this one's mandatory, affecting roughly 500,000 workers across the country. If you're not federally regulated, technically you get a pass... for now. But provinces like Ontario, British Columbia, Manitoba, and Newfoundland and Labrador are already rolling out menstrual product programs in schools, and workplace expectations are shifting fast right behind them. Translation: even if the law doesn't require it yet, your employees (and your Glassdoor reviews) probably do. Why Bother? (Besides, You Know, the Law) Fewer people quietly suffering at their desks. Access to products means employees aren't stuck choosing between "leave work" and "improvise with paper towels." Less stigma, more normalcy. Treating periods like the biological non-emergency they are helps everyone relax a little. Happier visitors and customers too. A stocked, tidy washroom says "we've got our act together" louder than almost anything else in your building. You stay on the right side of the regulations. Federally regulated employers who skip this step risk more than an awkward inspection. Better hygiene overall. Covered, touch-free disposal beats the old rusty wall box in every conceivable way — sanitation-wise and dignity-wise. What a "Compliant" Washroom Actually Looks Like No need to overthink this. A compliant washroom needs: Tampons and pads available in every toilet room (or a solid alternate spot) A covered disposal bin in every stall or single-toilet washroom A restocking rhythm that doesn't leave dispensers embarrassingly empty Product choices that ideally involve asking employees what they'd actually like to see The tricky part isn't understanding the rule — it's the ongoing logistics. Sourcing dispensers here, disposal bins there, and product refills from a third place is basically a part-time job nobody signed up for. Enter Cleaning365 (Cape Not Included, but the Products Deliver) Cleaning365 supplies commercial cleaning and hygiene products across Canada and the U.S. — think napkins, napkin dispensers, soap, gloves, and all the unglamorous-but-essential stuff that keeps a washroom actually functional. Basically, if it belongs in a supply closet, they probably sell it. Here's how they make compliance a lot less of a headache: One supplier, one order. Instead of juggling three vendors and four invoices, you can get dispensers, disposal products, and hygiene supplies in one go. They deliver, well, everywhere. Nationwide shipping across Canada and the U.S. means your downtown HQ and your regional branch office can hit the same standard without extra effort on your part. Reasonable pricing. Compliance shouldn't require raiding the facilities budget — Cleaning365 keeps costs sane so restocking becomes routine, not a special request. The whole hygiene picture, not just the headline item. Soap dispensers, tissues, gloves — the regulation is really about washrooms feeling clean and dignified overall, and that's the lane Cleaning365 lives in. A Five-Second Compliance Checklist Print this out, tape it to the supply closet, thank us later: Tampons and pads in every toilet room (or a solid backup spot)? Covered disposal bin in every stall? Products available regardless of the sign on the door? A restocking schedule that actually gets followed? A supplier you're not constantly chasing down? If you hesitated on any of those, it might be time to look at your setup before an inspector — or worse, an empty dispenser — does it for you. Wrapping Up Menstrual products in the workplace shouldn't be a plot twist. They're a basic hygiene item, and as of December 2023, the law agrees — at least for federally regulated employers, with everyone else likely to follow. Getting compliant doesn't have to be complicated: stock the right products, install the right bins, and keep it all running smoothly. Cleaning365 handles the "keep it running smoothly" part, so you can get back to whatever it is you were actually hired to do.
